As soon as you have downloaded and installed TeamSight on your chosen device, you can either setup a new business, or login as an employee using the user name and password issued to you by TeamSight.

If you are setting up a new account we recommend using a device with a larger screen, such as a tablet, to make the process of building schedules easier. However, all the functionalty is still available as an administrator, whether you are using a phone or tablet, and every effort has been made in the design of the user interface to make it simple to use on either type of device. You can also install (and login to) TeamSight on multiple devices using the account details emailed to you when you created your new account. This means that you can maintain your schedule where ever you are, with TeamSight automatically synchronising the changes between your devices.

As the creator of a new account, you will become the one and only Administrator, and you are the only user that has the ability to add new items (such as Locations, Job Roles and Repeating Shift Patterns) to the setup data.

When a new employee is added to TeamSight you have the option to send them their own login details. The employee can then install TeamSight on their own device(s) and log directly into their schedule.

New Account

The process of creating a new account is designed to get you up and running as quickly, and simply, as possible.

The first employee that is added is you. You are not required to add yourself to any schedules, or maintain any of your contract information, but using your details as an employee with full administrator access prevents you from becoming locked out of any parts of the system. It also allows you to see all the calendar screens that an employee will see (useful for evaluating TeamSight without having to install TeamSight as a different user on a different device).

Setup Data

TeamSight is extremely flexible and can be configured in different ways to match your business requirements but, put simply, your are effectively combining Job Roles and Locations to identify different shift patterns. These shift patterns can either be Repeating Shift Patterns or shifts that are specific to a single day (Events).

There are a number of options available to you that allow you to have fewer, longer shifts, in your Repeating Shift Patterns but still accurately keep track of the hours employees work:

  1. Events can be created that have unique shift patterns on a specific day of the year.
  2. Adhoc Shifts can be added into the schedule during the booking phase, to add extra time to the end or start of a shift.
  3. Booking part of a shift by using custom Absences and Attendances.

    A set of absences and attendances are automatically added to your setup data, but these can be removed, or added to as neccessary as long as they have not already been used by an employee in the schedule.

    In particular an absence or attendance can be setup as being booked for an entire shift, or for part of a shift. If an absence or attendance is bookable for part of a shift then the booking is broken down into 15 minute slots within a shift. This allows you to define a longer shift, but still record the exact details of someone who only worked (or took time of during) part of that shift.

Once your schedule is up and running you will be able to add employees to the shifts they are working.

Employees can either be set to WORK a shift pattern by default, in which case you can record the time booked off, or they can be set to NOT WORK a shift pattern by default and you can record the time that they worked.

As well as setting when an employee is working (or not working), you can also request an employee to work (or not work) their shift.

Similarly employees can request time at or away from work, in which case you may wish to assign a manager that is repsonsible for approving or declining these requests.

Every employee is assigned to a Management Group as part of their employment details.
